What are we looking for?
We are seeking a highly organized and detail-oriented Senior Admin Executive with 3-5 years of experience to join our team. The ideal candidate will be responsible for managing and supporting various administrative tasks, ensuring smooth day-to-day operations within the office. This role requires a proactive individual with strong communication skills, the ability to multitask, and a keen eye for efficiency.
What will you do?
- Provide comprehensive administrative support to the management team, including calendar management, meeting coordination, and travel arrangements including cab facility.
- Manage office space planning and organization including seating arrangements.
- Oversee office operations, including Cafeteria management, managing vendor relationships, maintaining office supplies, and ensuring a clean and efficient working environment.
- Prepare, review, and manage documents, reports, and presentations, ensuring accurate record-keeping and file management.
- Act as a point of contact between departments, clients, and stakeholders, handling incoming and outgoing communications, including emails, phone calls, and correspondence.
- Plan and execute company events, meetings, conferences, festivals, managing logistics, catering, and scheduling.
- Receive, review and verify vendor invoices for accuracy and compliance with contractual agreements and invoices processing for payment in accordance with company procedures.
- Maintain and update databases, ensuring data accuracy and integrity and generating reports as required.
- Ensure adherence to company policies and procedures, including health and safety regulations.
- Health Insurance management including benefits enrollment, updates, and terminations.
- Identify opportunities to streamline administrative processes and implement best practices to enhance efficiency.
- Support special projects and initiatives as needed.
What you must have?
- 3-5 years of experience in an administrative or office management role.
- Bachelor’s degree in Business Administration, Management, or a related field (preferred).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with office management software is a plus.
- Excellent written and verbal communication skills.
- Superior organizational and time-management abilities, with the capability to prioritize tasks and manage multiple projects simultaneously.
- Strong problem-solving skills with a proactive approach to challenges.
- High level of accuracy and attention to detail.
- Discretion and professionalism in handling sensitive and confidential information.
